Preparing Your Pre-recorded Virtual Presentation

 

Dear BSW 2020 LIGHT Speakers,

On behalf of the RBSS Organizing Committee, we would like to thank you for your patience and understanding during this time of transition to a virtual conference.

This year, for the virtual congress, we decided to pre-record the oral presentations to avoid technical problems during the live congress. These pre-recorded videos will be streamed on the congress platform at your scheduled slot. We will ask you to be present ‘online’ on the platform during your pre-recorded video presentation, as to be able to respond possible questions by the public.

As the date of the BSW 2020 congress is approaching, we have planned to schedule the recording of oral presentations from 2 November until 6 November. You will need to select a time slot to establish a contact moment on the conference platform for the recording of your oral presentation (see below). Attached are the official preparation instructions for all presentations.

 

Powerpoint instructions and designated presentation durations

As such, you can begin to prepare your presentation in Powerpoint, which will be presented on your own computer during the recording session. You can use your own template, preferably in a 16:9 configuration.  See https://tinyurl.com/resizepowerpoint for instructions on how to resize your powerpoint or enable custom size settings for your poster. Please take into account the designated time for your presentation:

  • Free paper presentation: online captured video presentation of maximum 6 min oral presentation followed by a live Q/A session right after your presentation (max 2min).

  • E-Poster: online captured video presentation of maximum 2 min oral ‘bullet’ presentation + your e-Poster, which both will be made available in the content library of the conference platform. Presentation powerpoint: 16:9 format; e-Poster format: landscape orientation, A0 size (84,1 x 118,9 cm), to be uploaded as a pdf file. File upload will be made available during the video recording process.
  • BAST trainer trainee presentation: online captured video presentation of maximum 8 min oral presentation. Please include 2 multiple choice question slides at the end of the presentation. Both questions will then be used for polling the attending public during the 4 minutes discussion.

Please use the logo of the conference on your slides or poster: download the small banner or the large logo (use your right mouse click > 'Save image' as or 'Copy image').

For the assisted video recording, please reserve your preferred time slot  in the CALENDAR on https://doodle.com/poll/294dg3f8pt6smy2u . Please mention in the Name field box directly the email address on which the technical agency will be able to contact you.

This calender gives you a choice of 30-minute slots to record your presentation.

The technical agency will provide you a video recording link for the Streamyard-platform, (which looks like this: https://streamyard.com/y4n6ai7fzt) where you can join the virtual technical booth to present your slides with your webcam and microphone on during the selected time slot. 

                                                                                                                                      

A technician will be with you in the virtual recording room during the recording.

The technician will be able to assist with any questions or issues that you might have for the recording session.

Closer to your presentation date, we will send you a connection link for the live session. In the meantime, you can check in which session and at which indicative time you will need to be present during the meeting as a speaker by consulting the conference program on the conference website.
